Administrative Sales Assistant
Arboplus is looking for a diligent assistant to provide administrative support to our sales team.
Job Description
As an Administrative Sales Assistant, you will perform a variety of administrative tasks. You will handle data entry and maintain ongoing communication with clients and field estimators. You will answer client questions and serve as a liaison between the client and the estimator.
Tasks and Responsibilities
- Prepare and send electronic quotes to clients
- Communicate with clients and estimators to obtain missing details needed to prepare quotes
- Send arborist diagnostic reports to clients
- Modify quotes at the client’s request and coordinate with the estimator
- Follow up on pending files
- Respond to client inquiries (phone, email, or text message)
- Participate in all stages of the billing process
- Follow up on payments
- Perform collection calls, documentation, and follow-ups
- Reconcile and maintain client accounts
- Document all actions in our management platform
- Other tasks related to estimation, billing, and administration
Required Qualities and Skills
- Enjoy working with the public. Strong interpersonal skills, tact, diplomacy, politeness, and clear communication are essential.
- Sense of responsibility, honesty, and discretion, as you will handle confidential client information (addresses, phone numbers, credit card details, etc.).
- Autonomy and resourcefulness, as you will often work independently and must resolve problems or client concerns (impatient clients, aggressive or arrogant clients, unclear requests, etc.).
Requirements
- Excellent command of spoken and written French
- Working knowledge of English
- Strong computer skills
- Versatility
- Keyboarding speed of at least 35–40 words per minute
- Ability to manage multiple files simultaneously
- Strong collaboration and teamwork skills
- Time and priority management skills
- Strong organizational skills

Training and probation pay: $20/hour
After the 3-month probation: $20 to $25/hour
Annual raise possible based on performance
Status: Permanent / Seasonal (mid-March to December)
